Data Protection Policy

Lead Pilot Global LLC handles personal information belonging to third parties on behalf of our clients. This policy sets out the standards we apply to that information. It complements our Privacy Policy, which explains what we collect and why; this policy explains how we protect it.

1. Scope

This policy applies to all personal information we process in the course of providing manual and batch skip tracing services, including record files submitted by clients, data obtained from licensed vendors and public records, and results delivered to clients. It applies to all our employees, contractors and subcontractors.

2. Roles and responsibilities

The client — a real estate business or professional — determines what records are submitted and for what purpose, and is responsible for ensuring those records were lawfully obtained and may lawfully be submitted. We provide services only to clients engaged in legitimate real estate activity, and we verify the business purpose before processing where appropriate.

Lead Pilot Global acts as a service provider, processing records on the client’s documented instructions and for no other purpose. We do not use client data for our own marketing, do not add it to any product or database of our own, and do not sell it.

3. Lawful sourcing

We obtain contact information only from licensed data vendors and lawfully available public records. We require our vendors to confirm that their data is lawfully sourced and lawfully licensed for the purposes for which we use it.

4. Purpose limitation

Personal information processed under this policy is used only to fulfil the specific client order for which it was collected. We do not repurpose it, aggregate it into other products, or retain it for speculative future use.

5. Permitted use by clients

We are not a consumer reporting agency, and data we deliver is not a consumer report under the Fair Credit Reporting Act. Before delivery, clients agree in writing that they will not use the data for credit, insurance, employment, housing eligibility or tenant screening decisions, will not use it to harass or unlawfully discriminate, and will not resell or redistribute it.

Where we become aware that a client is using data outside these limits, we suspend the account and terminate the engagement.

6. Security measures

We apply safeguards proportionate to the sensitivity of the information we handle:

  • In transit — files are transferred over encrypted connections. We do not accept or deliver record files over unencrypted channels.
  • At rest — files are stored on access-controlled systems with encryption enabled.
  • Access control — access is limited to personnel who need it for a specific order, on a least-privilege basis. Access is reviewed when roles change and removed immediately when someone leaves.
  • Authentication — multi-factor authentication is required on all accounts that hold or can reach client data.
  • Devices — work is performed on devices with disk encryption, screen locks and current security updates. Storing client files on personal or unmanaged devices is prohibited.
  • Separation — each client’s data is kept separate. Records from one client are never mixed with, or used for, another client’s order.

7. Personnel

Every employee and contractor signs a confidentiality agreement before being given access to client data, and receives instruction on this policy and on the permitted-use restrictions in Section 5. Breach of this policy is treated as a disciplinary matter and may result in immediate termination.

8. Subcontractors and vendors

Where we use subcontractors or third-party vendors that process personal information, we require them by contract to apply protections at least equivalent to this policy, to process data only on our instructions, and to delete it when the engagement ends. We remain responsible to our clients for their performance.

9. Retention and deletion

Client record files and delivered results are retained for thirty (30) days after delivery, so that clients can raise any delivery issue, and are then deleted from our active systems.

We retain contracts, invoices and transaction records for as long as required by tax and accounting law. Clients may request earlier deletion of their files at any time, and we will confirm deletion in writing.

10. Individual rights and suppression

Individuals whose information appears in data we have processed may request access, correction, deletion, or inclusion on our internal suppression list. Requests go to support@leadpilotglobal.co and are handled within thirty (30) days, free of charge, after identity verification.

Records on our suppression list are excluded from future results. We also forward any opt-out or do-not-contact request we receive to the client who received that record, and our client agreements require the client to honor it.

11. Security incidents

We maintain a procedure for handling suspected security incidents. If personal information is exposed or accessed without authorization, we will:

  1. Contain the incident and preserve evidence
  2. Assess what information was affected and whose
  3. Notify affected clients without undue delay and in any event within seventy-two (72) hours of confirming the incident
  4. Support clients in meeting their own notification obligations
  5. Record the incident and the corrective action taken

12. International processing

Lead Pilot Global LLC is registered in the United States. Some of our personnel and service providers are located outside the United States. Where personal information is processed outside the United States, it remains subject to this policy and to contractual confidentiality and security obligations equivalent to those described here.

13. Review

This policy is reviewed at least annually, and whenever there is a material change to our services, systems, vendors or applicable law.
